Position Description

Title: Administrative Assistant

Status: part-time, exempt

Reports to: President and CEO

Hours: flexible, in coordination with Patron Relations Manager

Organizational Overview:The Hilton Head Symphony Orchestra (HHSO) inspires, enriches, and unites the Lowcountry through excellent live music that is embraceable by all. It accomplishes this through full orchestra performances of classical and popular repertoire, education and community engagement activities, and events at SoundWaves, the HHSO’s performance, meeting, and corporate space.

Position Description: The Administrative Assistant supports other staff in patron relations, production, marketing, and administrative functions. Specific responsibilities include:

  • Answering telephone and electronic communications and routing these to the appropriate staff, and receiving in-person visitors.
  • Processing ticket orders and communicating with patrons, in cooperation with the Patron Relations Manager.
  • Promptly depositing all cash and checks received, processing credit cards and online transactions, and accurately reporting these to appropriate staff;
  • Collecting and distributing mail.
  • Processing gift certificates requested by community partners and for direct HHSO distribution.
  • Producing program inserts for all Orchestra Series performances.
  • Processing donor acknowledgement letters on a weekly basis, in cooperation with the Patron Relations Manager.
  • Assisting the Chief Operating Officer with musician housing and usher coordination.
  • Ordering and receiving office supplies.
  • Performing other duties as assigned.

Qualifications

  • Bachelors degree or higher
  • A passionate appreciation for our art form
  • Excellent communication and interpersonal skills and a commitment to teamwork
  • Ability to manage time, workflow, prioritize projects, and multitask
  • Proficiency in Microsoft Office, Word Press, donor databases, and social media
  • Demonstrated organizational skills and attention to detail
